This menu reference describes each menu item in the Postbox main window.
Note: Postbox's Compose window has its own menus, described here.
Postbox Menu (macOS)
About Postbox
Displays a dialog box with information about Postbox, including the current version.
Check for Updates...
Postbox will check to see if there are any application updates available.
Preferences…
Displays the Preferences window, where you can change many preferences in Postbox.
Quit
Closes all Postbox windows, cancels any active downloads and quits Postbox completely. If you happen to select this menu item with more than one tab or window open, Postbox will ask you to confirm your choice to prevent accidental exits.
File Menu
New...
Message
Opens a window for composing a new message.
Reminder
Creates a new Reminder in the currently selected folder.
Folder... / Sub-Folder...
Opens a dialog for creating a new folder or subfolder in any account. This item only appears for email and RSS accounts.
Smart Folder...
Opens a dialog for creating a new Smart Folder in any account. This item only appears for email and RSS accounts.
Account Group...
Creates a new Account Group that you can use to organize accounts in the Accounts pane.
Mail Account...
Starts the New Account Wizard. This wizard will help set up a new mail account.
RSS / Newsgroups
Starts the Other Accounts Wizard. This wizard will help set up a new RSS feed or newsgroup account.
Address Book Card...
Opens a dialog window for creating a new contact in the Address Book.
Open Saved Message...
Displays an Open File dialog where you can select a previously saved message from your local disks or network.
Close Tab
Closes the currently selected tab.
Close Window
Closes the main Postbox window.
Save As
File
Displays a 'Save Message As' dialog where you can select a location on your local disks or network to save a copy of the message you are currently reading. You can save as Mail (.eml), HTML, or Text (.txt) file types.
Template
Saves the message you are currently reading into the Template folder of the current mail account.
Download New Messages for
Displays a submenu where you can specify which accounts to check for new messages.
All Accounts
Postbox will check all mail and RSS accounts for new messages.
A Specific Account
Postbox will get messages for any specific account listed.
Send Unsent Messages
Send messages queued in the Unsent folder.
Subscribe...
Opens a dialog which allows you to subscribe or unsubscribe to IMAP folders or newsgroups.
Delete Folder
Deletes the currently selected folder.
Rename Folder...
Opens a dialog box which allows you to rename the currently selected folder. The Inbox, Drafts, Templates, Sent, Junk, and Trash folders may not be renamed.
Compact Folders
When you delete a message, it doesn't really get deleted from the folder. It gets marked as deleted. Postbox sees that marking, and knows not to display it. Compacting folders will command Postbox to remove all messages marked as deleted, in each folder of the currently selected account. This process removes extra space within the mail file folders and can recover large chunks of hard drive space.
Empty Trash
Empties the trash folder of the currently selected account.
Offline
Work Offline
Switch Postbox into offline mode. This allows you to read and compose mail when not connected to a network.
Download / Sync Now...
Choosing this will bring up the Download and Sync Messages prompt, which will allow you to download messages for mail and newsgroups selected for offline use, as well as send any message in your Unsent folder.
Offline Settings
Opens a dialog to allow setting the preferences for offline usage.
Download Reminders
Choosing this will download any messages for offline use, which you have marked as a reminder.
Download Selected Messages
Choosing this will download any messages for offline use, which you have selected.
Page Setup...
Opens the Page Setup dialog which allows the setting of printing properties.
Displays the Print dialog, where you can specify the number of printed copies, etc. Click OK to print the page.
Import
Use the Import function to import address books, messages, and settings from third-party mail clients.
Language
Allows you to specify a language within Postbox.
Edit Menu
Undo
Undoes the last action in a text field. If you later decide you don't want to undo an action, use the Redo command.
Redo
Redoes the last Undo command.
Cut
Cuts the selected text from a text field and stores it in the clipboard. Paste the text elsewhere by using the Paste command.
Copy
Copies the selected text to the clipboard. Paste the text in a text field by using the Paste command.
Paste
Pastes text stored in the clipboard into a text field.
Delete
Deletes the current message or selected messages or Folders. This item only appears when a message or folder is selected.
Select
All
In the message pane, this command selects all messages in the current folder. If viewing or composing a message, it selects all the text of the message.
Thread
Selects all messages in the currently selected thread.
Reminders
Selects all messages marked as Reminders.
Find
Search Messages
Brings the cursor to the Search Messages toolbar item.
Advanced Search...
Displays a window that allows you to search for messages using multiple attributes. The results can be opened, moved, deleted, and converted into a Saved Search.
Find in this Message...
Displays the find bar at the bottom of the message pane. Enter the text you wish to find in the text box, and as you type Postbox will automatically find and select the first occurrence of the entered text in the message. Click Next or Previous to find the text at other locations in the message, and click Highlight to highlight all occurrences of the text in the message.
Find Again
Searches for the next occurrence of the text specified when using the Find in This Message... command.
Search Addresses...
Displays the Advanced Address Book Search dialog box.
Favorite Folder
Adds the currently selected folder to the Favorites Bar.
Folder Properties
Displays the properties for the selected folder. Properties are organized by General Information, Offline, Sharing, and Quota.
View Menu
Messages
Displays the message list for the selected folder.
Reminders
Displays only messages that have been marked as a reminder within the selected folder.
Attachments
Displays a compiled list of attachments for the selected folder, in addition to the message location and sender information. Buttons on the bottom toolbar allow the selected attachment(s) to be saved, sent in an email and viewed with Quick Look. Attachments can also be sorted by relevance or date.
Images
Displays a compiled list of images that have been attached to messages in the selected folder. Buttons on the bottom toolbar allow the selected image(s) to be saved, sent in an email, viewed with Quick Look and added to iPhoto. View options in the toolbar allow image thumbnails to be resized and sorted by relevance or date.
Threads
Organize by Thread
Organizes messages by Conversation in the message list. Conversations can be expanded and collapsed using the disclosure triangle next to each conversation's subject.
Expand All Threads
Expands all threads in the Message Pane.
Collapse All Threads
Collapses all threads in the Message Pane.
Sort By
Sorts the message by Date, Received, Reminder, Order Received, Priority, From, Recipient, Size, Status, Subject, Read, Topics, Junk Status, and Attachments. In addition, these items can be sorted in Ascending or Descending order.
Pin Reminders
When checked, all reminders will be gathered at the top of the message list above all other messages.
Expand Conversation
Expands the selected conversation in the message pane to show all messages.
Collapse Conversation
Collapses the selected conversation in the message pane to show the default number of recent messages.
Message Body As
Original HTML
Shows the message body as full HTML, as intended by the sender.
Plain Text
Shows the message body as plain text, removing all formatting, images, and other HTML elements.
Feed Message Body As
Webpage, Summary or Default Format.
Original HTML
Shows the message body as full HTML, as intended by the sender.
Simple HTML
Shows the message body simple HTML, keeping content and hyperlinks while stripping images and special formatting.
Plain Text
Shows the message body as plain text, removing all formatting, images, and other HTML elements.
Zoom
Zoom In
Increases the text size one point.
Zoom Out
Decreases the text size one point.
Reset
Resets the text size to the default state.
Text Encoding
Displays a submenu that is used to select alternate character encodings.
Display Attachments Inline
When checked, attachments appear within the message body. When unchecked, attachments display in the Attachments pane only.
Message Source
Displays the complete message as received. The headers, body, and attachments are shown in plain text.
Message Security Info
Displays a dialog with information about whether the current message was digitally signed and whether the message was sent using encryption.
Layout
Classic View
Changes the layout of the main Mail & Newsgroups window to the classic three-pane view. The window is divided into two columns. The left column contains the Folders pane. The right column contains the Message list and preview pane split horizontally.
Vertical View
Changes the layout of the main Mail & Newsgroups window to a three-pane side-by-side view. The left column contains the Accounts and Folders pane. The middle column contains the Messages. The right column contains the Message pane.
Show
Folder Pane
Toggles the visibility of the Folder and Accounts pane in the main Mail window.
Focus Pane
Toggles the visibility of the Focus pane in the main Mail window.
Message Pane
Toggles the visibility of the Message pane in the main Mail window.
Inspector Pane
Toggles the visibility of the Inspector pane in the Message pane.
Favorites Bar
Toggles the visibility of the Favorites Bar, located just below the toolbar.
Theme
Toggles the Postbox theme between Light and Dark modes. Default will inherit the theme preference from the OS.
Customize Toolbar
Displays the toolbar customization dialog. You can drag and drop toolbar buttons to/from the toolbars here. You can also right-click on the navigation toolbar and select Customize... to show this dialog.
Exit/Enter Full-Screen Mode
Using this option you can enter into or exit from the full-screen mode of the app.
Go Menu
Next
Message
Selects the next message in the current folder or newsgroup.
Unread Message
Selects the next unread message in the current folder or newsgroup.
Reminder
Selects the next message marked as Reminder in the current folder or newsgroup.
Unread Thread
Selects the next unread thread in the current folder or newsgroup.
Previous
Message
Selects the previous message in the current folder or newsgroup.
Unread Message
Selects the previous unread message in the current folder or newsgroup.
Reminder
Selects the previous message marked as a reminder in the current folder or newsgroup.
Forward
Selects the next viewed message.
Back
Selects the previously viewed message.
Quick Switch
Displays the Quick Switch popup window. Enter a folder name and then press enter to jump to the desired folder.
Home
Displays the inbox of the active account and clears the search box.
Message Menu
Reply
Reply to the currently selected email message(s). One reply composition window will be opened for each selected message. (This menu option is only displayed if one or more email messages is selected.)
Reply to All
Reply to sender and CC'ed recipients of the currently selected email or newsgroup message.
Reply To List
Reply to a list of recipients that you have.
Quick Reply
Reply in the Message preview pane without opening a new window and without rich text formatting.
Forward
Forwards the currently selected email or newsgroup message(s).
Forward As
Inline
Copies the text of the message to be forwarded into the body of the new message.
Attachment
Adds the message to be forwarded as an attachment to the email.
Resend
Opens a new compose window with the selected message in the message body. Resend is different from forwarding since it does not quote the existing message.
Redirect
Selecting this option will open the email compose window with the sender of the email under the To-Reply field.
Open Message
Opens the selected message. The message will open in a new tab, window, or existing window, depending on the Preference set in Preferences (Tools) | Advanced | General.
Edit
Opens the current message in a message composition window, so you can edit it. Note that your address will be in the To field.
Attachments
Displays a submenu showing each of the attachments in the currently selected message (if any exist). Each attachment has its own submenu with the option to either open, quick look, save, detach, or delete the attachment.
Open All...
Choose this to open all files attached to a message.
Save All...
Choose this to save all files attached to a message to a specific location on your computer.
Detach All...
Choose this to remove all files attached to a message, and save them to a specific location on your computer.
Delete All...
Choose this to remove all files attached to a message.
Mark
As Read/Unread
Marks the selected message(s) as read or unread, depending on the current status.
Thread As Read
If the message is part of a newsgroup or email conversation thread, all the messages in the thread will be marked as read.
As Pending/Not Pending
Marks the selected message(s) as pending or not pending, depending on the current status.
As Reminder/Not Reminder
Assigns the message as a reminder, or removes the reminder badge, based on the current status.
As Junk/Not Junk
Marks the currently selected email message(s) as junk mail or not junk mail, depending on the current status.
Run Junk Mail Controls
Runs the junk mail filter on selected messages. Postbox will only run Junk Mail Control when the training database has information on non-Junk messages. If Junk Mail Control does not work, select some messages and explicitly mark them as Not Junk.
Assign Topic
Displays the Assign Topic submenu, with a list of all available Topics.
Edit Topics...
Opens the Topics section of the Preferences | Displays window in order to create new topics.
Remove All
Removes all Topics from the selected message.
Archive
Archives the currently selected message to the designated Archive folder for the currently selected account.
Quick Move
Opens the Quick Move popup window. Enter a folder name and then press enter to move the currently selected message to the desired folder.
Quick Copy
Opens the Quick Copy popup window. Enter a folder name and then press enter to copy the currently selected message to the desired folder.
Move To
Move currently selected email message(s) to a different folder.
Copy To
Make a copy of the currently selected email or newsgroup message(s) to a different folder.
Move To "[folder name]" Again
Move the selected message(s) to the last folder used during a move operation
Tools Menu
Address Book (Windows only)
Opens the Postbox Address Book.
Message Filters...
The Message Filters applet is used to view, create, delete and edit mail filters.
Create Filter From Message...
This will open a window where you can create a new filter rule. The sender's address will default as one of the criteria.
Run Filters on Folder
This option will apply the message filters to the folder that is currently selected.
Run Junk Mail Controls on Folder
Junk mail controls are usually run as messages are received. However, with this option, you can manually re-run the controls on the folder that is currently selected.
Delete mail marked as Junk in Folder
Delete any message that has been marked as junk in the folder that is currently selected.
Indexing
Index All Folders...
Updates the index for all folders in Postbox.
Index This Folder...
Updates index for the selected folder.
Reset All Folders...
Replaces the index for all folders in Postbox.
Reset This Folder...
Replaces the index for the selected folder.
Options... (Windows only)
Displays the Options window, where you can change many preferences in Postbox.
